Factoring Services

Our property factoring scope of services can cover it all, from simple repairs such as changing light bulbs to more complicated matters such as roof repair work. The scope generally depends on the type of development and its facilities. Typically with a factored development, the following services are routinely provided:


  • Regular stairwell cleaning on a weekly, fortnightly or monthly basis depending upon requirements. This may also include window cleaning and bin/bike store cleaning.
  • Regular grounds maintenance on fortnightly basis in the summer months and monthly in the winter months. The specification for the maintenance would depend upon the grounds but typically includes grass cutting, weeding of flower beds, trimming of bushes/hedges, litter collection and general upkeep of amenity areas throughout the site. This may also include gritting and snow clearing during winter months. 
  • General repairs as required – for example faulty stairwell lights, faulty door entry system or faulty communal TV/satellite system etc.
  • Building repairs as required – for example roof works, gutter cleaning or repairs, repointing walls etc.
  • Periodic emergency equipment testing in line with legislation and manufacturer guidelines. This would include fire/smoke alarm systems, emergency lighting, dry risers, smoke ventilation systems etc. 
  • Mechanical equipment maintenance such as lifts, car park gates, water pumps etc. as well as undertaking bi-annual engineering inspections to ensure the equipment is operating correctly and safely.
  • Placement of insurance policies which can include block insurance, engineering insurance for lifts, gates etc., and Directors & Officers (D&O) insurance for Associations. 

Benefits of Our Service

Communal areas managed under our factoring service removes the stress and hassle away from one owner or group of owners who often struggle to try and coordinate difficult repairs themselves. The key benefits of our factoring service are:


  • A dedicated Property Manager for each site. 
  • An annual budget prepared in advance allowing owners to understand how their funds will be spent. 
  • Issue of an associated fee invoice which can be paid monthly, quarterly or in full. 
  • A management fee reflecting the actual workload of managing the site with increases only as a result of additional workload or operating costs – we will not automatically apply a mandatory increase each year. 
  • An approved list of contractors who are regularly vetted to ensure they have adequate insurance and meet health and safety standards. 
  • Formal site inspections once every three months including safety assessments and proactive maintenance planning.
  • Close working and liaison with Committees/Residents’ Associations to ensure the site is managed in a way that owners wish. 
  • Regular owner meetings throughout the year including attendance at AGMs.
  • Optional telecare service to provide emergency repairs assistance outwith office working hours. 

Engaging A Factor

The decision to engage or change factor is prompted by the agreement of the majority of owners. The Deed of Conditions will stipulate the quorate number required to make this decision. 


After this decision has been made, we can then prepare a formal Factoring Proposal for the consideration of all owners. This Proposal will be based on the requirements of the site.


If appointed, our intention is always to liaise with the outgoing factor for a smooth transition which avoids unnecessary inconvenience for owners.
